Why AssetClump

Built around how estates actually work.

Most tools track things. AssetClump tracks places, people and dates as well, so the answer to “where is it, who looks after it, what is hired out, what it costs to run, and what is about to lapse” is always one click away.

The estate is the spine

Every asset has exactly one home, somewhere on a real map of your places. Not a spreadsheet column.

Evidence before change

When two scans disagree, nothing is overwritten. A person reviews both and accepts one, on the record.

Alerts before things lapse

Contracts, certificates, stock and obligations raise their own alerts. Urgent ones also reach your inbox.

Operate the estate, not only the register

Hire out spaces, record contracts and maintenance, and see running costs by building, on the same sites and alerts you already use for assets and compliance.

HireContractsMaintenanceRunning costs

Hire

Let your fields, halls and hostels earn their keep.

Sports clubs rent a pitch. Another church hires the hall for a weekend. A youth group fills the hostel for a week. AssetClump shows what is free, what it costs and who has it, so nothing is promised twice.

  • See the whole estate on one calendar

A month view and a space-by-space timeline show what is booked, held or closed, by facility group.

  • Know who you hire to

Clubs, churches and schools are set up once, with their history and what they have spent.

  • Never double-book

Clashes are caught as you type, including a whole building against its rooms. A hold lapses on a date you set.

Alerts & email history

Nothing lapses quietly.

AssetClump watches contracts, certificates, stock, scans, hire and loans, and tells the right person before a date is missed. Not after.

Inventory

Count the estate from a phone. Review it from a desk.

Inventory officers walk the rooms and scan what they find. Anything that does not add up becomes an exception, and an administrator decides which scan is right.

Locations

A clear structure for every place.

The location design connects Site → Building → Floor → Room, with External areas for the spaces beyond a building.

Start with the places you use. An estate is optional, so a rented hall does not need a campus structure.

Assets

Records that answer the practical questions.

The record design brings together name, category, status, condition and one home location—so the details have a clear place to belong.

Generated QR identification and photo attachments support recording and review. Linked contracts show what an item costs and when its agreement ends, and disposal keeps the full history.

How it works

A practical starting point. A clearer next step.

Four everyday tasks, in the order most organisations take them.

01

Set up your locations

Define the sites, buildings, floors, rooms and external areas you use. Add an estate only where it helps.

02

Register your assets

Record the key facts and one home location, with generated QR identification and photos.

03

Count and verify

Run an inventory campaign. Review any scans that disagree before changing a record.

04

Stay ahead

Track contracts, compliance, maintenance, hire and running costs by building. Alerts reach you in the app and by email before dates slip.

FAQs

A few useful answers.

What the product does, and what the preview simulates.

AssetClump is designed for churches, charities, schools, colleges and universities—from one rented hall to a multi-building or multi-site campus. This page presents the product design, not a live customer deployment.

An estate is optional, so a rented hall does not need a campus structure. Start with the places you use.

Yes. AssetClump supports direct sign-in or a company identity service, configured per organisation. No public mode switch is needed.

An organisation administrator invites people and sets their role. There are nine roles, from organisation administrator and estate manager to inventory officer, finance and auditor. Each role is scoped to the sites and buildings a person looks after, and a church administrator must always have at least one site.

AssetClump raises alerts for contracts ending, obligations falling due, certificates expiring, stock below its reorder level, conflicting scans, missing assets, new work orders, hire enquiries, holds and deposits, equipment reservations and invitations. They appear on the bell in every screen and in an alerts panel on Home when you sign in. Critical and warning alerts are also emailed.

Yes. The email history lists every message sent, when, to whom and whether it was delivered, opened or failed, and you can filter it by category. In the preview, email delivery is simulated with sample data.

Yes. Hire has a calendar for the whole estate, an availability finder, customers such as clubs and churches, simple prices per hour, half-day, day or night, recurring weekly bookings and a dashboard of value and utilisation. Clashes are caught as you book, including a whole building against its rooms, and block-outs close a space for maintenance.

No. You record the price, the deposit and whether it has been paid by hand, and the dashboard shows what is still to be paid. Invoices, online payment and a public booking form are not part of the product today.

You can try the whole flow in the preview: create a campaign, scan, verify, photograph, review conflicts and accept a scan. Live camera scanning and offline sync on devices are still to come.

No. The preview runs on sample data that resets when you refresh. It shows how the product behaves, not a deployment for any real organisation.

Reporting across several organisations, billing and AI features are not part of the product today.
